Position Summary

Working under the supervision of the Director of Human Resources, the Administrative Services Coordinator directly supports the mission of The Everglades Foundation by performing a variety of mid- to high-level administrative duties. The Coordinator plays a proactive role in managing day-to-day administrative functions and provides operational support to ensure administrative goals are met for continuity of operation.


Primary Responsibilities

  • Provide day-to-day administrative and operational support. Exercises independent judgment in facilitating administrative workflow for the department and providing follow up on pending actions.

  • Serve as the initial point of contact for the administrative operations to include greet, receive, and direct visitors to the Foundation; Process daily incoming and outgoing mail; Organize and maintain common spaces (i.e., conference room, storage areas, supply room and kitchen); order office supplies and maintain adequate supply inventory.

  • Work closely with the Director of Human Resources and assists with managing the initiation and/or processing of personnel actions.

  • Coordinate and assist with the recruitment and onboarding efforts to include basic candidate screening and scheduling interviews.

  • Organize and maintain HR files and assist with personnel file audits as assigned.

  • Assist with the preparation, editing, updating, and maintenance of manuals, training materials, and reports as assigned.

  • Manage space allocation and space reassignments for the organization as needed.

  • Work with IT support provider to coordinate equipment assignments and maintain equipment inventory.

  • Conduct research, gather and compile data for preparation of various reports and presentations as assigned.

  • Assist with coordination and preparation for staff events as assigned.

  • Prepare materials for appointments, meetings, briefings, assist with printing and assembly of Board Books and other materials for annual Board of Directors meetings as assigned.

  • Assist with special projects as assigned.

  • Perform other related duties as required or directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Accountability

The Administrative Services Coordinator reports to the Director of Human Resources and coordinates closely with the entire administrative team.

Qualifications

  • Bachelor's degree in Business Administration or related discipline required.

  • 4+ years of experience providing administrative support or coordinating operational functions for an office or department required.

  • Advanced knowledge of and proficiency with Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) required.

  • Experience supporting Human Resource functions and/or operations preferred.

  • Demonstrable knowledge of business administration practices and principles preferred.

  • Demonstrated ability to work with all levels of management.

  • Willingness and ability to learn and adapt to emerging technologies including new computer software and applications.

Salary

Salary Range

$50,000 - $55,000 commensurate with experience
