About the position

Position Summary

Working under the supervision of the Controller, the Staff Accountant prepares and analyzes financial reports to track the organization’s assets, liabilities, profit and loss, tax liabilities, and other related financial activities. The Staff Accountant assists with the coordination and operations of the Business Office to include financial reporting and compliance, accounts receivable, accounts payable, payroll, budgeting, forecasting, contract management, investment accounting, and financial analysis.

Primary Responsibilities

  • Perform general accounting and other related duties.

  • Work closely with the Controller to document and implement accounting policies and procedures in accordance with generally accepted accounting principles (GAAP), ensuring that proper internal controls and safeguards are in place.

  • Prepare month-end closing reports and assist in the preparation of monthly financial statements.

  • Prepare reconciliations of accounts and subledgers, journal entries, supporting schedules, analyze balances, and research discrepancies in financial data.

  • Review financial data, perform financial analysis, and assist in the preparation of financial reports for departments, management, and Board Committees, as assigned.

  • Enter and code all deposits into the NetSuite accounting system; serve as backup for the remote deposit capture function.

  • Manage vendor set-up and maintain vendor records in NetSuite to include collection of contracts, W-9 forms, and other supporting documents.

  • Code and upload all Accounts Payable payment request supporting documentation including invoices and contracts, process payments, and record and reconcile accounts in NetSuite.

  • Establish new donor Accounts Receivable accounts in accordance with pledge agreements, record new pledges and pledge payments, and perform month-end Accounts Receivable reconciliations in NetSuite.

  • Coordinate with Director of Human Resources to review, process, and reconcile biweekly payroll and employee benefits costs; upload biweekly payroll summaries into NetSuite.

  • Manage payment of corporate credit card accounts; review supporting documentation and coding of corporate credit card transactions.

  • Perform periodic verification of petty cash funds, record activities, and serve as second counter of cash received.

  • Assist the Controller with preparing confirmations, updating schedules, and gathering necessary documentation for filing of the annual audit and Form 990.

  • Manage incoming and outgoing accounting department mail and respond to inquiries as needed.

  • Maintain and update all accounting department records in digital format.

  • Other tasks and duties as assigned.


The Staff Accountant reports directly to the Controller and coordinates closely with other members of the Administrative and Executive Leadership Teams.

Knowledge, Skills, and Abilities

  • Bachelor’s degree in Accounting, Business, Economics, or related field required.

  • Minimum of four (4) years of accounting experience required.

  • Thorough understanding of and ability to adhere to generally accepted accounting principles required.

  • Experience with and demonstrable understanding of fund accounting preferred.

  • Proficiency in accounting software required; experience with NetSuite preferred.

$60,000 - $70,000 commensurate with experience.
